EPC Quick uses personal information only where it is needed to answer enquiries, provide quotes, arrange property-compliance services, manage bookings and payments, verify customer reviews, keep appropriate business records and meet legal obligations.
This may include your name, email address, phone number, property address or postcode, requested service, appointment preferences, property details, payment preference, booking or invoice references and information you choose to include in a review.
For enquiries and bookings, we use information to take steps at your request before providing a service and to perform the service once agreed. We may also use information where necessary for legitimate business interests such as preventing fraud, keeping booking records and verifying genuine reviews, provided those interests do not override your rights. Where the law requires records to be kept, we may process information to meet that legal obligation.
Booking and quote requests are processed through EPC Quick’s website booking system, and booking records are stored by our website hosting provider. We use an email service provider to send booking updates and invoice emails. Review form submissions are sent to EPC Quick using FormSubmit. If you pay by card, Stripe processes the payment through its checkout service; EPC Quick does not receive or store your full card details. If you choose bank transfer, payment instructions are sent to the email address you provide, and we use your booking reference to check receipt. If you contact us through WhatsApp, WhatsApp/Meta handles your message. We may also share the information reasonably necessary to complete the service with the assessor or engineer assigned to your property.
We keep enquiry information only as long as reasonably necessary to deal with the enquiry. Booking, invoice and accounting records may be retained for the period required for business, tax and legal record-keeping. Review-verification information is kept only as long as needed to verify and manage the review. We periodically delete information that is no longer required.
Depending on the circumstances, you may have rights to access your personal information, ask for inaccurate information to be corrected, request deletion or restriction, object to certain processing, or ask for information to be provided in a portable format.
